Good email subject lines for cold emails name the reason this person is hearing from you and the topic, in a few plain words and without a sales pitch. As a rule of thumb, 40 to 60 characters is enough, because many mail apps on phones cut longer subject lines off in the inbox preview, so the part that matters goes first.

Below you'll find 40 subject line examples sorted by situation: first contact, follow-up, after a call, referrals, recruiting and job applications. Plus what changes when you write an InMail on LinkedIn. **Last updated: 28 September 2026.**

## What a cold email subject line has to do

In the inbox, your recipient sees the sender, the subject and, depending on the app, a line of preview text. That's what they use to decide whether to open, save it for later or delete it. So the subject line doesn't need to persuade anyone. It only needs to say honestly why this email concerns them.

On length: there is no fixed character limit for email subject lines that decides what gets shown. How much stays visible depends on the mail app, the device and the font size. The 40 to 60 characters are a rule of thumb, not a measured benchmark. In practice, put the hook (company, occasion, the name of whoever referred you) at the start. If the rest gets cut off, the part that counts is still there.

## Rules for email subject lines for cold emails

### Specific beats curious

“Quick question” on its own says nothing. “Quick question about your hiring in Leeds” says what it's about and still doesn't read like an ad. Curiosity subject lines with no substance might earn an open, but rarely a reply, because the first sentence can't deliver on the promise.

### Lead with the connection

The strongest opening is a detail that is only true for this recipient: their post, the new office, a mutual contact, last week's call. If you can't find one, that usually means the person doesn't belong in your target audience.

### No clickbait, no capital letters

All caps, exclamation marks, “free”, “today only” and emojis make a B2B email look like a newsletter. Write the subject line the way you would write it to a colleague: sentence case, no punctuation fireworks.

### No fake “Re:” or “Fwd:”

Putting “Re:” in front of a first email pretends there was a conversation that never happened. It might win an open and it costs trust at the same moment, because the first sentence gives the trick away. “Re:” is only genuine when you reply to your own email in the same thread.

### Subject line and first sentence belong together

The subject line announces, the first sentence delivers. If the subject says “Your post on trade show leads”, the email opens with that post, not with your company pitch.

### Use the first name only for a reason

The recipient's first name in the subject line doesn't prove personalization; any mail merge can do that. Use it when the rest of the line would otherwise feel generic, and leave it out when the topic already carries the connection.

Square brackets are placeholders. Replace them with real details, or the template turns into a mass email.

Only use the referrer's name if they agreed. That's not a formality: if the recipient checks, the referral has to hold up.

This is how the two work together. The names are examples.

## Subject lines on LinkedIn: InMail yes, chat no

On LinkedIn, whether you get a subject line depends on how you write. **InMails**, messages to people you're not connected with, have a subject field. LinkedIn's instructions call it optional and allow up to 200 characters. **Messages to 1st-degree connections** run as a chat. LinkedIn's steps for them only include a recipient field and a “Write a message” box, no subject. In a chat, your first sentence has to do the subject line's job.

For InMails, the same rules apply as for email: short, specific, with a clear connection. Since an InMail conversation only really starts once someone replies, a subject line that promises a simple question works well. A question like “Am I right that you work in \[industry\]?” is easy to answer with a yes or no, and any answer opens the chat.

## Recruiting and job hunting: same rules, different sender

The recruiting and application examples above already show it: a good subject line works in recruiting just like in sales. For candidates, the subject should carry the role, the location and a real link to their profile. “Exciting career opportunity” says none of that. As a rule of thumb, 40 to 60 characters. There's no fixed limit for email, but many mail apps shorten long subject lines in the preview. Put the connection first so it stays visible.

### What should I write in a cold email subject line?

A specific link to the recipient plus the topic, for example “Question about your sales push in Austria”. No sales words, no capital letters, no “Re:” without a previous email.

### Should I change the subject line for a follow-up email?

If you follow up in the same thread, keep the original subject with “Re:”. If you bring something new, such as an example, a fresh subject like “An example for my last email” can fit better.

### Do LinkedIn messages have a subject line?

InMails have a subject field of up to 200 characters; on LinkedIn it's optional, in Sales Navigator it's required. Messages to 1st-degree connections are chats without a subject.

### Should I use the recipient's first name in the subject line?

Only when it adds something. A specific topic or occasion shows more personalization than a first name that any mail merge can insert.
